Invoicing for construction and contractors

From quote and extra work to partial payment: invoice clearly, even when a job lasts months.

Typical invoicing problems

  • Extra work gets lost

During a job extra work comes up that wasn’t in the quote. Without a clear line on the invoice, a discussion follows.

  • Long projects, late payment

You put materials and hours into a job and wait months for your money if you only invoice at the end.

  • Reverse charge or not?

With subcontracting, VAT may be reverse-charged. A wrong mention on the invoice causes trouble.

  • Chasing the money

You are on the scaffolding, not behind a laptop. Sending reminders easily slips.

How FactuurPro helps

  • Turn a quote into an invoice

Send your quote online, let the customer accept it and convert it into an invoice with one click.

  • Record partial payments

Create invoices per phase and record partial payments, so you always see what is still outstanding.

  • Reverse charge as an option

Choose the VAT rate or reverse charge per invoice line and put the required mention on your invoice.

  • Automatic reminders

Set when and in what tone you remind. Reminders stop once the invoice is paid.

Three tips

  1. Record extra work straight away

Confirm extra work in writing or in a supplementary quote before you start.

  2. Invoice per phase

Agree on instalments and invoice after each completed phase so you don’t pre-finance the job.

  3. Add the supply date

State when the work was carried out or delivered. It is a mandatory detail on an invoice.

Frequently asked questions

Do I have to reverse-charge VAT as a subcontractor?

With subcontracting and staff leasing in construction, VAT may be reverse-charged. Whether that applies to you depends on who your customer is and what you supply. Read our guide on the reverse charge or ask the Dutch Tax Administration.

Can I invoice extra work separately?

Yes. You can put extra work as a separate line on the same invoice or make a separate invoice. Agree with your customer what suits best.

How do I record a down payment?

You can record a partial payment on the invoice, after which FactuurPro shows what is still outstanding.
